Troopmaster has a ton of options and features for events, but it can be overwhelming. Here's a guide to setting up your event so everything runs and is recorded smoothly
Check-box to turn registration by Scouts/Parents on
Information provided to scouts/parents when they register - usually this contains any waivers, registrations, fees, special packing or training instructions, etc.
Normally not necessary, but the date the event will start allowing people to register
Set this to about 2 weeks before the event to allow scouts and adult leaders time to make sure everyone is prepared. Registrations after the End date can only be added by someone with calendar edit permission (normally the Outdoor Coordinator or Lead ASM)
Do not use this
When someone tries to RSVP and the number of registrants is already at the limit, the person will get the response message "Thank you for submitting your RSVP" even though the RSVP has been silently changed to NO. Several people in the past have been confused and thought that they were registered for the trip, since it isn't clear their registration had been rejected.
Additionally in case there are people that register early and then drop out, knowing additional people that would like to attend is valuable as a "wait list". If we have a hard limit, those extra people are not registered. Troopmaster has a way to see what order people signed up in, so you can apply a "first come, first served" policy. Clearly state the registration limit in the instructions, and once the limit has been reached, edit the instructions to say further registrations are being saved on a wait list. Communicate clearly about 2 weeks in advance who is attending if there is a hard limit.
